Bonsai Society of South Jersey
This organization shall be known as the Bonsai Society of South Jersey
The purpose of this Society shall be to bring together those who are interested in the art of Bonsai, to disseminate knowledge, encourage others, create interest and exchange information in the art of Bonsai through lectures, demonstrations and conversations.
Section 1: All persons interested in Bonsai shall be eligible for membership in the Society and become members upon payment of dues and shall receive a membership card. A copy of the Society's by-laws will be posted on the Society's website.
Section 2: Each member in good standing, whose dues are paid in full for the current year, shall be entitled to one vote on all matters brought before the Society.
Section 3: There shall be two classes of membership, individual and honorary. ( Honorary membership will be determined by the Steering Committee.) Individual members shall pay dues; honorary members shall not pay dues. The amount of dues shall be recommended by the Steering Committee and approved by the members. Membership dues shall be paid in January of each year. Members who have not paid dues by the end of January shall be notified by phone or e-mail. Those members whose dues remain unpaid at the end of February shall be dropped from the Society's rolls.
New members who join during the year shall pay dues on the following schedule:
January - June: full amount of anual dues
July-October: one half of anual dues
New members joining in November or December shall not pay dues until the following January.
Section 1: The board of Directors shall include President, Vice President, Treasurer, Past President and a Steering Committee of four members. The officers shall be elected by ballot. The term of office shall be two years from the first day of January to the last day of December two years hence. No member shall hold more than one office at a time. No member shall be eligible for the same office for more than two consecutive terms.
Section 2: The Board of Directors shall meet at least once per quarter. Other meetings may be called by the President. A quorum of the Society's officers shall consist of five members. All actions and recommendations of the quarterly meeting shall be reported to the membership at the next regular meeting.
Section 1: The President shall have superintendence of the affairs of the Society, shall preside at all meetings, shall keep informed of all work of the Society and shall report comments and suggestions of the members to the Board of directors as he/she may deem necessary. The President shall be a member ex-officio of all committees and upon completion of his/her term(s) shall become a member of the Board for a two year term.
Section 2: The Vice president shall perform the duties of the President in the absence of the latter or whenever the President may be unwilling or unable to perform the duties of office.
Section 3: The Treasurer shall be responsible for the receipt of all moneys and pay debts of the Society by check only. All checks are to be signed by the Treasurer with the President's approval. The Treasurer shall keep a book record of all monies of the Society that are received and distributed and shall render a financial report as the Society's officers may require. The Treasurer shall present a report at each quarterly Officer's meeting and an annual report to the membership at the January meeting in the following year. The Society's fiscal year shall be from the first day of January of each year to the last day of December of that year.
Section 4: The Treasurer shall be responsible for keeping an up-to-date membership roster to include the member's name address, phone number and e-mail address. The list is to be held in confidence and used only for the Society's needs.
Section 5: The Treasurer shall keep an inventory record of all physical assets owned by the Society. This record shall include asset description, location, date acquired, value and any additional notes. In the event of an asset (or assets) to be donated, sold, scrapped or otherwise removed, the Board will make all decisions regarding the disposition of the asset(s).
Regular Society meetings shall generally take place on the second Wednesday of each month at a time and place selected by the Society officers, weather permitting. Other times and places may be selected by the officers with at least 3 months notice to the membership of the change.
The election of officers shall take place at the November meeting. Candidates shall be nominated by the membership in October via e-mail or phone and presented at the October meeting. At least two members names shall be proposed for each of the six positions.
Article 7: Seven members shall constitute a quorum for the Society if the total membership is twenty members or less. If membership is over twenty, then one-third of the membership shall constitute a quorum.
Article 8: Upon reaching a memebership of fifty or more members, the order of business shall be conducted following Robert's Rules of Order, revised, as the parliamentary authority.
Article 9: These by-laws may be altered, amended or repealed by the membership of the Society at any stated meeting by an affirmative vote of two-thirds by the membership present and voting, providing notice of the meeting and a copy of the proposed changes have been submitted at a previous meeting or by e-mail to the full membership.
Membership dues for the year 2018 are $25.00
